Student data is kept strictly in the UK unless specifically stated otherwise, such as when requesting support or making an inquiry where the name, email address, and communication records may sit on our provider’s servers in Europe.

Speakers for Schools is a charitable incorporated organisation (Company number CE000004 and a registered charity in England and Wales no 1150411 and Scotland SC046586) and we are a Data Controller in respect of your personal data. We are registered with the Information Commissioner’s Office and our registration number is ZA845395. Our principal address is Speakers for Schools, St Helens, Third Floor, 1 Undershaft, London EC3P 3DQ. We have appointed a Data Protection Officer who is responsible for managing Data Protection at Speakers for Schools and for ensuring that we comply with our legal obligations relating to personal information. Personal data (or personal information) is any information about a living individual from which that person can be identified, directly or indirectly. Personal data does not include data where an individual cannot be identified from it. This is called anonymous/aggregated data. The personal data we collect about you will vary depending on how you use our services and website which we use to fulfil our relationship with you and provide the best possible service. We collect your personal information:
  • directly from you when you provide it to us (e.g., when you sign up to use our services, make enquiries, or enter a competition, promotion or survey);
  • from publicly-available sources;
  • automatically as you navigate through our website; and
  • from third parties (e.g., if you are a young person, we may receive information about you from your school/college/parent/guardian for you to sign up to our services).
We provide services for young people from the age of 12 and above. Where a young person is under the age of 13 or does not have capacity, we require agreement from the parent or guardian to process their personal data. Service User (young person):

This section applies to you if you sign up to one of SFS’ services, either on your own or through your school/college.

For events. We will use your personal data to allow us to process your registration, communicate with you and obtain your feedback about the event. We are processing this information about you for these purposes because it is in our legitimate interests to administer our events (Article 6(1)(f). For the purposes of demonstrating our commitment to social responsibility, equality and mobility. While we will where possible use aggregated data, however in some cases we will use personal data where there is a legitimate interest in doing so (Article 6(1)(f).
Data relating to health or disabilities if provided by you. We require this information to ensure you receive reasonable adjustments (if required) when accessing our services. This is provided voluntarily and is processed in accordance with our contract with you (Article 6(1)(b) and for health purposes (Article 9(2)(h).

We are all about inclusion, so we will use this information to ensure we are advancing social mobility across the UK. This is in compliance with our overall legal obligation in respect of social responsibility and equality (Article 6(1)(c) & social protection law Article 9(2)(b).
Publicity photographs and/or video/digital images. To promote the work of the charity. Consent if you are over the age of 13 (Article 6(1)(a). Consent from a parent/guardian/carer if you are under the age of 13 (Article 6(1)(a).

Parent/Guardian/Carer:

This section applies to you if you are the parent, guardian or carer of a young person under the age of 13 or without capacity, using SFS’ services and you provide us with any of the personal data outlined below.

This section applies to you if you sign up to SFS on behalf of your school/college to access the Speakers for Schools programmes for the young people in your school/college.

Contractor/Supplier:

This applies to you if you perform services for the SFS Group as an independent contractor, supplier or vendor.

Donor:

This section applies to you if you make a donation to SFS.
What we may collect… Why Legal Basis
Name; gender; email address; contact address; contact number. If you signed up for Gift Aid, we are required to obtain your name and postal address. It is a legal requirement for this process (Article 6(1)(c) and also forms part of our contract to accept your donation (Article 6(1)(b).

Enquiry maker:

This section applies to you if you submit a general query or a data subject rights request to SFS.

We use appropriate security measures to protect the security of your personal information both online and offline. These measures vary based on the sensitivity of the personal information we collect, process and store and the current state of technology. We also take measures to ensure service providers that process personal data on our behalf also have appropriate security controls in place.
We retain your personal data for as long as reasonably necessary to fulfil the purposes it was collected for and to enable us to comply with our legal obligations, including for the purposes of satisfying any legal, accounting, or reporting requirements. Details of retention periods for different aspects of personal data information are available in our retention policy, which is available upon request. To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of personal data, the purposes for which we process personal data and whether we can achieve those purposes through other means, and the applicable legal requirements. After you terminate using our services, we will delete all personal data that directly identifies you in accordance with our retention schedule, unless we are required to maintain your data in compliance with a legal obligation. We may also use aggregated data for statistical purposes.
Our data is typically hosted in the UK and other parts of the EEA, there are however some of our contracted service providers that may process from outside of the EEA. Where these transfers and any other transfers that may occur in the future are concerned, we ensure that there is a legal basis for the transfer and a lawful transfer mechanism in place prior to any transfers in place. Any such transfers are currently done using either a transfer to a country with an adequacy ruling, or if a third country, using the UK International Data Transfer Agreement (IDTA), the European Commission Standard Contractual Terms (SCC’s), the UK ICO Standard Contractual Clauses Addendum and the relevant transfer impact assessments and/or transfer risk assessments. Should the international data transfer requirements change, we will review the obligations and amend this notice as appropriate. We may use technologies that are considered automated decision making or profiling. We will not make any automated decisions about you that would significantly affect you unless such a decision is necessary for entering into, or the performance of, a contract with you, we have obtained your consent, or we are required by applicable law to use such technology. You will find information on your right to object to this processing of your data below under Your rights as a data subject.

Your right

Personal Information is just that – it’s personal, and it’s yours. So we want to make sure that it’s easy for you to take control of it and exercise your legal rights.

If you make a rights request, we’ll confirm that we have received your request and let you know if we need anything else from you. We must fulfil your request within one month unless the request is particularly complex or we receive multiple requests from you. In these cases we may extend the time period by up to two months, however we will only do this when we absolutely have to, and will always let you know.

This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it;
This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us;
This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request;
Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms. You also have the right to object where we are processing your personal data for direct marketing purposes. In some cases, we may demonstrate that we have compelling legitimate grounds to process your information which override your rights and freedoms;
Request restriction of processing of your personal data. This enables you to ask us to suspend the processing of your personal data in the following scenarios:
  • if you want us to establish the data's accuracy;
  • where our use of the data is unlawful but you do not want us to erase it;
  • where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims; or
  • you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it;
Request the transfer of your personal data to you or to a third party. We will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format. Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.

Name; gender; email address; contact address; contact number. If you signed up for Gift Aid, we are required to obtain your name and postal address. It is a legal requirement for this process (Article 6(1)(c) and also forms part of our contract to accept your donation (Article 6(1)(b).

Enquiry maker:

This section applies to you if you submit a general query or a data subject rights request to SFS.

To enable us to respond to requests, complaints and enquiries made under Data Protection legislation. Our legal obligation to comply with such requests (Article 6(1)(c).
The above table is non exhaustive but gives you an indication of the data we collect and our legal basis for processing. We also collect, use and share anonymous/aggregated data such as statistical or demographic data. For example, we may aggregate your website usage data to calculate the percentage of users accessing a specific website feature. Additionally we will process personal data for any individuals where we are instructed to do so by law or to comply with any legal obligation upon us.
  1. How long we keep your information
We retain your personal data for as long as reasonably necessary to fulfil the purposes it was collected for and to enable us to comply with our legal obligations, including for the purposes of satisfying any legal, accounting, or reporting requirements. Details of retention periods for different aspects of personal data information are available in our retention policy, which is available upon request. To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of personal data, the purposes for which we process personal data and whether we can achieve those purposes through other means, and the applicable legal requirements. After you terminate using our services, we will delete all personal data that directly identifies you in accordance with our retention schedule, unless we are required to maintain your data in compliance with a legal obligation. We may also use aggregated data for statistical purposes.
  1. International Data Transfers
Our data is typically hosted in the UK and other parts of the EEA, there are however some of our contracted service providers that may process from outside of the EEA. Where these transfers and any other transfers that may occur in the future are concerned, we ensure that there is a legal basis for the transfer and a lawful transfer mechanism in place prior to any transfers in place. Any such transfers are currently done using either a transfer to a country with an adequacy ruling, or if a third country, using the UK International Data Transfer Agreement (IDTA), the European Commission Standard Contractual Terms (SCC’s), the UK ICO Standard Contractual Clauses Addendum and the relevant transfer impact assessments and/or transfer risk assessments. Should the international data transfer requirements change, we will review the obligations and amend this notice as appropriate.   1. Who do we share your information with?
All data subjects: We will share data within Speakers for Schools where necessary and appropriate and the sharing will be strictly limited to those with a need to know in order to process your data. We outsource certain business functions to our trusted third-party processors (such as IT support, HR providers, financial services providers etc.,) to process your personal data on our behalf. We have detailed contracts in place with our third-party providers which oblige them to fully comply with Data Protection legislation to the same high standard that we do. Third-party service providers (data processors) are not allowed to use your personal data for any other purposes than those instructed by Speakers for Schools as the data controller. A list of our third-party providers can be provided on request from our DPO. We also share personal data where necessary with organisations for the purposes of detecting and preventing fraud or other criminal conduct and/or in order to comply with our legal obligations.

The Speakers for Schools websites may include links to third-party advertisers, affiliates, websites, plug-ins and applications. Clicking on links third-party websites, content or applications may allow those third parties to collect or share data about you. We do not control and are not responsible or liable for those third-party websites or content and are not responsible for their privacy statements, notices or policies or the way in which they collect or use your data. Please check these policies before you submit any personal data to these websites. Computer cookies are small text files that a website transfers to your computer. They are widely used in order to make websites work, or work more efficiently, as well as to provide information to Speakers for Schools. Using cookies helps us to make our website easier for you to use and helps us to give you a more personalised web experience, such as enabling us to present information about products and promotions, which we believe will be of more interest to you.   1. How do we protect your personal data?
We take the security of your personal data very seriously. We use appropriate security measures to protect your personal data from unauthorised access, disclosure, alteration or loss. All personal information you provide to us, which we store electronically, is stored on our private, secure network of computers. Access to our IT systems is controlled and password protected. Our IT provider regularly monitors our computer and network systems for possible vulnerabilities and attacks and uses state of the art firewalls and anti-virus software, which is regularly updated. Where we have given you (or where you have chosen) a password which enables you to access certain parts of the Website, you are responsible for keeping that password confidential. We ask you not to share a password with anyone.

Personal Information is just that - it's personal, and it's yours. So, we want to make sure that it's easy for you to take control of it and exercise your legal rights. If you would like to exercise any of your legal rights in relation to the personal data we hold about you, you can submit a request through our DPO. It is important that the personal information we hold about you is accurate and current. Please keep us informed if your personal information changes.   • Request access to your personal information (commonly known as a “data subject access request”). This enables you to receive a copy of the personal information we hold about you and to check that we are lawfully processing it.

  • Automated decision making, including profiling We do not envisage we will utilise any automated decision-making technology, however, should this change we will inform you.
Generally you will not have to pay a fee to exercise any of your legal rights. However, we are entitled to charge a reasonable fee if any request is clearly unfounded, repetitive or excessive. We can also refuse to comply with an unfounded or excessive request. We may need to request information from you to confirm your identity, in order to make sure that personal data is not disclosed to someone who is not entitled to have it. We may also need to ask you for additional information to help us respond to your request. If you make a rights request, we'll confirm that we have received your request and let you know if we need anything else from you. We must fulfil your request within one month unless the request is particularly complex or we receive multiple requests from you. In these cases, we may extend the time period by up to two months, however we will only do this when we absolutely have to and will always let you know.
